Job Summary: The Administrative Support role involves providing vital administrative assistance to the Unit Manager and nursing team within an allocated unit. This position aims to contribute to the overall success of the unit by ensuring effective and efficient administrative operations, meeting both internal and external customer expectations.
Minimum Qualifications and Experience:
- Relevant Clinical / Administrative Qualification at NQF level 5.
- 0 to 1 year of administration experience.
- Proficiency in MS Office.
Key Responsibilities:
- Assist the Unit Manager with drawing patient statistics and reports as needed.
- Maintain the patient register, including the whiteboard, ensuring it is up-to-date and accurate by documenting admissions and discharges. Reconcile the whiteboard with the SAP system every 2 to 4 hours.
- Request Unit Manager approval for patient movements and ensure patient stickers are available daily.
- Maintain an organized filing system, ensuring proper filing of documentation, including patients’ documents, minutes, and audit documents.
- Conduct cycle counts and ensure all stock received in the ward is barcoded.
- Ensure daily patient credits are processed.
- Perform any reasonable administrative tasks as instructed by the Unit Manager.
- Answer the unit telephone professionally and courteously, ensuring that messages are relayed accurately.
- Inform patients and customers about the patient experience feedback system (MyVoice) and assist them in utilizing the service.
- Manage stock control efficiently.
