An administration CV works best when it names the office tasks and tools you can use. “Computer literate” gives an employer little detail. It is clearer to explain whether you maintain spreadsheets, prepare documents, file records or handle routine enquiries.
What to include
Describe the level of work you performed with each tool. Entering rows into Excel is different from creating formulas or managing a reporting workbook. School, college or volunteer administration can be relevant, but label the setting correctly and explain the responsibility you had.
Profile example to adapt
Administration applicant with experience in [real office, study or volunteer setting]. Comfortable with [specific tools and tasks]. Looking to support a team through [two relevant strengths supported by your experience].
Replace the bracketed text with true details. Remove any sentence that does not describe your experience.
Skills to consider
Choose the skills you can demonstrate. This list is a prompt, not a claim that you hold every skill.
- Document preparation
- Spreadsheet data entry
- Email and calendar use
- Filing and record retrieval
- Telephone enquiries
Examples of duties or activities
Use only examples that match something you have actually done. Add the setting and dates in the relevant section.
- Updated [type of records] in [tool] and checked entries against the source documents.
- Prepared and formatted [documents] for review by [team or supervisor].
- Organised [paper or digital files] using the agreed naming and filing system.
Check before applying
- Name the software you actually used and the tasks you completed with it.
- Do not copy confidential client, staff or business records into your CV as examples.
- Distinguish data entry from analysis, accounting or systems administration.
- Check spelling, dates and contact details; these also demonstrate care with documents.

What computer skills should I list on an admin CV?
Name the software and tasks you actually use: entering spreadsheet records, formatting documents, managing email or retrieving files. Distinguish basic data entry from formulas or analysis.
What is a useful admin CV achievement?
Describe a true improvement or responsibility, such as organising a filing system or checking records. Add figures only when you can support them, and leave confidential records out of the CV.
