The Operations Manager is responsible for planning, organizing, and directing the activities of the Centre. This role includes overseeing leasing contracts, procuring services, managing third-party service contracts, and directing maintenance procedures. The Operations Manager ensures that all buildings, grounds, and equipment are well maintained and in optimal working condition while developing and implementing departmental policies and procedures in compliance with health and safety regulations.
Key Responsibilities
- Operations Management: Plan, develop, and implement effective operations management policies and procedures to enhance efficiency.
- Goal Setting: Assist Senior Management in developing short- and long-term goals and plans, including budget projections.
- Policy Development: Help create policies and procedures for Centre operations and conduct periodic reviews to ensure maximum efficiency.
- Facility Oversight: Ensure effective management of the Centre’s operations and facilities, coordinating maintenance contractors and suppliers.
- Tenant Liaison: Communicate with tenants regarding operational issues and address their complaints effectively.
- Emergency Response: Respond to emergency call-outs promptly to manage urgent situations.
Day-to-Day Operations
- Complaint Management: Handle tenant complaints related to security, air conditioning, cleaning, electrical, plumbing, etc.
- Invoice Authorization: Authorize invoices for payment and issue tender documents as needed.
- Cost Calculation: Calculate operational costs for charge-out to tenants to ensure appropriate recoveries.
- Space Planning: Manage space planning to accommodate current and future operational needs.
Maintenance Coordination
- Facility Inspections: Conduct periodic inspections of facilities to assess problems and implement necessary improvements.
- Preventive Maintenance: Direct preventive maintenance procedures to ensure facilities are clean, well-maintained, and in good repair.
Security Management
- Security Oversight: Ensure the security of all Centre facilities by conducting scheduled inspections of security systems.
- Threat Identification: Identify security threats and develop action plans for incident prevention.
- Collaboration with Authorities: Liaise with SAPS and local authorities regarding security matters.
Budgeting and Compliance
- Budget Management: Compile budgets, control expenditures, and ensure compliance with legal regulations.
- Safety Directives: Develop and implement safety directives while creating awareness among staff about health and safety practices.
Qualifications
- Education/Certification: Matric qualification is required; additional related maintenance or Centre management training is preferred.
Required Knowledge
- Excellent understanding of Centre or Property management procedures.
- Knowledge of budgeting, service contracts, and leasing agreements.
Experience Required
- Five or more years of related experience, including at least two years of supervisory experience.
Skills/Abilities
- Strong leadership abilities to organize, coordinate, and direct team activities effectively.
- Excellent problem-solving skills to address operational challenges efficiently.
- Good communication skills for effective interaction with staff, tenants, vendors, and contractors.
